How to write an hourly invoice

1. One line per day or task with a clear description — clients pay faster when they can see what each hour was for.
2. Hours as decimals: 15 min = 0.25, 30 min = 0.5, 45 min = 0.75. Agree with the client whether you round to 6, 15 or 30 minutes.
3. State the rate once on each line; if you have different rates (e.g. meetings vs. production), use separate lines.
4. Add the billing period (e.g. "Oct 1–15, 2026") in the Date field and your payment terms (Net 14, Net 30).
5. Attach or link your timesheet if the contract requires it.

How do I show hours on an invoice?

Put the hours in the Qty column and your hourly rate in the Rate column; the amount is hours × rate. Use decimal hours (1.5 = 1 h 30 min).

Should I round billable time?

Many freelancers bill in 6- or 15-minute increments. Whatever you choose, put it in your contract so the client is not surprised.

How often should I send hourly invoices?

Weekly, bi-weekly or monthly are common. Shorter cycles reduce the risk of a large unpaid balance.

Can I add a different rate for overtime?

Yes — add a separate line such as "Overtime (1.5×)" with the higher rate.
